Decide between an in-person event, an online auction, or a hybrid. Make sure it’s accessible and fits your audience.
4. Set a Date & Timeline
Pick a date that avoids major competing events. Work backwards to set deadlines for item collection, promotion, and setup.
5. Source Auction Items
Reach out to local businesses, artists, and supporters for donations. Aim for a mix of experiences, products, and unique items.
6. Price & Describe Items
Create appealing descriptions with photos. Set starting bids at 30–50% of the item’s value to encourage participation.
7. Promote the Event
Use social media, email newsletters, posters, and word-of-mouth. Highlight special items to build excitement.
8. Set Up the Auction Space
For in-person: arrange tables, clear signage, and bid sheets.
For online: ensure the platform is user-friendly and mobile-friendly.
9. Manage Bidding & Closing
Clearly communicate bidding rules and closing times. Give reminders before the auction ends to boost last-minute bids.
10. Thank & Follow Up
Send thank-you notes to donors, bidders, and volunteers. Share the fundraising total and how the money will be used.
